Round-Robin Routing

Operations & Workflow

Round-robin routing is a method of distributing incoming leads or tasks evenly across a team by assigning each new item to the next available person in a rotating order.

Definition

Round-robin routing is a method of distributing incoming leads or tasks evenly across a team by assigning each new item to the next available person in a rotating order. The first lead goes to person A, the second to person B, the third to person C, the fourth back to person A, and so on. The goal is equal distribution of opportunity across the team without requiring a manager to assign each lead manually.

How It Works

Round-robin routing is typically configured inside a CRM or lead management platform. When a new lead enters the system, the routing rule checks who is next in the rotation and assigns the lead to that person. Some systems add availability logic: if a team member is out of office, their spot in the rotation is skipped. More advanced configurations weight the rotation based on individual capacity, conversion rate, or territory. The assigned person receives a notification and the lead appears in their queue for immediate follow-up.

Why It Matters

When leads are assigned manually or informally, distribution becomes uneven. High-performing or more aggressive team members may claim more leads. Some leads sit unassigned and go cold. Round-robin routing removes the bottleneck of manual assignment and ensures every team member gets a fair share of opportunity. It also speeds up response time because each lead immediately has an owner with responsibility for follow-up.

Example

A staffing agency has three recruiters handling inbound inquiries from job seekers and employers. Without a routing system, leads tend to pile up in the shared inbox and whoever checks it first picks them up. After configuring round-robin routing in the CRM, each new inquiry is assigned immediately to the next recruiter in line. Response times drop from four hours to under 20 minutes because each recruiter knows exactly which leads are theirs.
