Lead Follow-Up
Operations & Workflow
Lead follow-up is the process of contacting a prospect after they have expressed initial interest, with the goal of moving them toward a buying decision.
Definition
Lead follow-up is the process of contacting a prospect after they have expressed initial interest, with the goal of moving them toward a buying decision. It covers every touchpoint after the first contact: callbacks, follow-up texts, estimate reminders, and check-in emails. Done consistently, it is one of the highest-leverage activities in any service business.
How It Works
When a lead submits a form, calls your number, or sends a message, the clock starts. Effective follow-up starts with a fast first response, then continues through a defined sequence of touchpoints until the lead converts, asks to be removed, or goes cold. Each touchpoint should add value, not just ask for the sale. A good sequence might look like: immediate auto-reply confirming receipt, a call or personal text within five minutes, a follow-up the next morning, and a final check-in three to five days later. Most businesses stop after one or two attempts. Research consistently shows that most conversions happen on the third to sixth contact.
Why It Matters
Leads are expensive to generate. Most of that cost is wasted when follow-up is inconsistent or stops too early. A prospect who fills out a quote form has already raised their hand. Not following up promptly is the equivalent of letting a customer walk into your store and then ignoring them. Consistent follow-up sequences, especially when automated, recover leads that would otherwise go to a competitor.
Example
A roofing company generates 40 leads per month from Google Ads. Without a follow-up system, the sales rep calls back when he gets around to it, which averages four hours. By automating an immediate text reply and scheduling three follow-up calls over five days, the company converts 8 more leads per month without changing the ad spend.
