Each stage represents a distinct milestone: new inquiry, contacted, qualified, quote sent, negotiating, closed won, closed lost. The stages are specific to how a business sells, and the definitions should match real events in the sales process, not arbitrary categories.
How It Works
A CRM or even a simple spreadsheet holds all active leads and shows which stage each one is in. As a prospect progresses, they are moved to the next stage. Each stage can have associated tasks, automated messages, or required information before a lead can advance. Reviewing the pipeline weekly tells a business owner how many deals are active, where the most deals are stalling, and what the expected revenue from in-progress deals looks like. This is sometimes called the pipeline forecast.
Why It Matters
Without defined stages, the sales process is invisible. It is impossible to know whether you have 10 or 50 open opportunities, or whether deals are stalling after the quote or earlier. Pipeline stages create the structure that makes every other follow-up and automation practice work correctly. They also make it possible to identify patterns: if most deals die at the "quote sent" stage, that is information you can act on.
Example
A cleaning company defines five stages: New Lead, Contacted, Walk-Through Scheduled, Quote Sent, and Booked. Every week the owner reviews the board and calls anyone who has been stuck at "Quote Sent" for more than four days. This simple practice surfaces deals that would have gone cold and shows her that most losses happen when quotes go out on Fridays without a follow-up the following Monday.
